Secretary/Assistant (Operations outside the European Union)

The Secretary/Assistant will provide secretarial and administrative assistance to the Head of Division and loan officers and will report directly to the Head of Division

Responsibilities

  • Assist the Head of Division and loan officers throughout the project appraisal procedure, in the finalisation of reports and the preparation of presentations (Power Point), including the input of data into the Division's databases
  • Ensure the administrative coordination of the appraisal process (prepare and distribute documents: type, edit, format, proof-read the text, in order to produce documents with a good presentation within deadlines; organisation of meetings, appointments and missions)
  • Handle contacts with promoters, intermediaries and other Bank Directorates
  • Keep up-to-date information and make researches on countries, sectors and businesses (using internet)
  • Handle all other secretarial tasks, incl. maintenance of Division's filing system (paper and electronic)
  • Ensure the administration coordination of monitoring and follow-up process of operations, including updating of electronic data-base

Qualifications

  • Certified secondary-level education and secretarial training
  • 2 years relevant professional experience
  • Excellent knowledge of the standard computer tools, particularly Word, Excel, Powerpoint
  • Excellent knowledge of written and spoken English and French. Knowledge of other EU languages would be an advantage
