Objective of internship:

To provide the Documentation Unit and Records Management Unit with flexible assistance and continuity in a number of core areas of the Unit’s remit whilst giving young professionals a taste of information service provision in an international institution.  As a high-profile employer and intensive consumer of information and records services, the EIB is ideally placed to offer varied work experience to up-coming information/records managers and archivists.
Interns will work in an international, multilingual institution and support the Documentation and Records management in their ongoing efforts to develop the quality and range of services offered

The focus of each placement will be determined in accordance with the changing business environment and the profile of the intern.

Responsibilities

Under the supervision and guidance of EIB staff, interns will be assigned responsibilities related to specific areas of DRM service provision and/or discrete project(s) in accordance with service requirements at the time

1) Documentation domain of activity

Participation in Documentation Unit service-provision tasks will include tasks related but not limited to
  • Cataloguing, classification, subject indexing of incoming library material
  • Data quality management in relation to the Library’s bibliographic database
  • Library lending tasks
  • Collection management tasks e.g. periodicals management and circulation, application of conservation codes, management of electronic resources
  • Routine information retrieval tasks

2) Records Management domain of activity

Participation in RMU project(s) will include tasks related but not limited to
  • Development of Taxonomy/Thesaurus for RMU databases
  • Development of RMU intranet Site
  • Indexation of EIB photograph collection (finalise project)
  • Description of EIB Historical Archive collections before declassification and transfer to Historical Archive European Union Florence
  • Arrangement and Description of Governing Bodies records

Qualifications

  • Student or recent graduate in Information Management (in information/library/archive/records management), seeking training opportunities in a multilingual environment within the financial sector or the EU Institutions
  • Knowledge of web design would be considered an advantage

Competencies

  • French or English with sound knowledge of the other language
  • Knowledge of other EU languages would be an advantage
